Overview

Sometimes you need to have access to your email and calendar from a computer that is not yours. You don’t have time or the inclination to set up Outlook or any other email client. Lucky for you, the CFAES mail server has a web interface. The web interface allows you to check your mail from any web browser. To use the web interface you must know three pieces of information

  1. Web Address
  2. Account name
  3. Password

Log into the server check mail

  1. Open your web browser
  2. Click in the location bar and type the web address of the mail server.
    http://webmail.cfaes.ohio-state.edu
  3. Press Enter or return on your keyboard
  4. Type your Login Name (account name) and Password in the proper fields and click on the Enter button

  5. Click on Inbox in the folder list to check your mail

  6. Click on any message to view it in the reading pane

View Calendar

All of your mail and calendar items as well as the address book are stored on the server. Because of this, you can use the web interface to manage your calendar as well as your e-mail.

  1. Click on Calendar in the folder list
  2. Your calendar appears as a grid with the days on the left and the times on top

  3. To view the details of an appointment click on that appointment and it will appear in the reading pane at the bottom of the screen

Create an appointment

  1. Click on the Event button in the upper left corner of your browser window. This creates a new event/appointment on your calendar.

  2. Click in the Subject and type Good Cheer
  3. Click in the Where field and type Chadwick Arboretum
  4. Click on the drop down arrow for the Starts Date and choose 5 days from now
  5. Click on the drop down arrow for the Starts Time and choose 09:00
  6. Choose a duration of 60 minutes
  7. Click the Save button in the upper left corner

The appointment/event is now on your Calendar

Share a folder

You can share a folder through the web interface just as easily as you can using Outlook. Once again, the owner of the folder must give permission for you to see the folder and you must tell the web interface to find the folder. We are going to share our Inbox with our class partner

  1. Click the Inbox in the left folder list
  2. Click on the Folder Management Button or link

  3. Make sure you are on the Access Control List Tab

  4. Type the account name of the person with whom you would like to share this folder and click Add button
  5. Select that account name in the list below and choose the permissions you would like to set (at the least choose Lookup and Select)
Lookup - allows the user to see this folder in your list of folders. They cannot read or change anything inside the folder, only see that it exists.
Select - allows the user to open items in the folder and read them, but not change them in any way
Seen - allows the user to mark messages as read or unread
Flags - allows user to “flag” messages or “unflag” a message
Insert - allows user to create items in the folder and copy items from other folders into this one
Post - Not used
Create - allows the user to create new subfolders within this folder
Delete - allows the user to delete items from this folder
Admin - allows the user to modify the Access Control List otherwise known in Outlook as the permissions. This level of permission should rarely if ever be used.}
6. Click the Save button in the lower right corner of the folder management window.
7. Click the Close button in the lower right corner of the folder management window.

You have now shared your Inbox. The next step is for the user to tell the web interface that he or she wants to see what you have shared.

View a Shared Folder

To gain access to another person’s folder you must know the name of the folder and the person’s account name or alias.

  1. Click on Settings in the upper left corner of the window

  2. Click on the Subscriptions tab

  3. Click in Alias Name give the folder a name you can identify
    e.g. AnneMail
  4. Click in Foreign Folder Name next to the alias you created and type the account name and name of the folder as follows.
    ~accountname/foldername
    e.g ~annegroves/Inbox
    THIS IS CASE SENSITIVE
  5. Click on Save in the lower right corner of the settings dialog

The calendar now appears in your list of folders. This is different then when you use Outlook to initiate the share, which shows the Owner’s folder’s separate from the User’s Figure 9: A shared calendar

Change your password

To change your password you can use the Settings again.

  1. Click on Settings

  2. Click on the Password tab at the top

  3. Under Password modification: Type in your current password and then your new password and reenter your new password. You may also enter an alternative email address that you would like to have your password mailed to if you forget it.
